A generated listing describes a worn collectible as βpristine,β converts an ungraded item into a certified example, and promises immediate shipping from a supplier whose stock file is several days old. The prose is persuasive. The product information is wrong.
In commerce, small factual changes can affect what a buyer expects and what a seller must deliver. AI is useful for transforming approved records into readable descriptions, but it should not fill commercial gaps with plausible details.
Start with the product record and preserve its identity through every draft and update.
Establish which record controls each field
A product may have several sources: a supplier sheet, a warehouse count, a pricing system, photographs, and a previous marketplace listing. They may disagree. Decide which source is authoritative for each field before asking AI to combine them.
Use a stable SKU or other reliable identifier. Titles are poor identifiers because people rewrite them. A blue medium bag and a blue large bag may have nearly identical names while representing different inventory.
Here is a synthetic product packet for a fictional store. All details are invented for this exercise. The inventory snapshot is labeled September 8, 2026, 09:00 UTC; it is not live stock.

Draft only what the records support
A reusable prompt can make the missing-data behavior explicit:
Draft one listing per SKU using only the supplied product packet. Preserve SKU, variant, condition, quantity, currency, and shipping terms. Do not infer certification, provenance, rarity, materials not recorded, stock guarantees, or delivery dates. Separate customer-facing copy from internal review notes. Mark incomplete records as held for review rather than inventing fields.

Internal review notes: Confirm the blue variant, current stock, and shipping geography. Do not convert 80 pages into 80 sheets, since those are different quantities.

Internal review notes: This is not a publishable offer. Obtain missing fields and reconcile the old supplier quantity with current availability. Do not replace unknown condition with βnewβ or unknown price with zero.
These drafts deliberately expose release blockers. Customer-facing production copy should be finalized after the facts are resolved, rather than leaving internal uncertainty notes in a live storefront.
Inspect commercial arithmetic separately from prose
For a hypothetical TK-01 sale, assume these additional synthetic costs:

Under these assumptions, contribution is $37 β $18 β $4.50 β $0.75 β $1.41 β $1.25 = $11.09. As a share of the $37 collected, that is approximately 30.0%.
The fee rate is invented, not a current marketplace schedule. The return allowance is a planning assumption, not a paid expense on this specific order. Labor, overhead, advertising, taxes, and other possible charges are excluded. Therefore, $11.09 is not a statement of net business profit.
A free-shipping offer would remove the $5 collected while leaving postage to be paid. Under the same assumed fee rule, the fee becomes $1.26 and contribution becomes $6.24. AI should not call free shipping costless merely because the customer sees no shipping line.
Ask for formulas and inputs, then verify with a calculator or spreadsheet. Real pricing decisions need the applicable current fee schedule, cost records, and tax treatment. This exercise demonstrates inspectable arithmetic rather than recommending a selling price.
Keep inventory time and meaning visible
A count has a source and a timestamp. Supplier stock may be shared with other sellers. Warehouse stock may include reserved, damaged, or unavailable units. βOn hand,β βavailable,β and βavailable to promiseβ need definitions in your actual system.
For BG-M-GR, four units in a week-old supplier file do not establish four units available for your buyer now. The correct response is to seek a current authoritative check or hold the offer according to the organizationβs process.
Do not let an update overwrite a newer record with an older one. Compare timestamps, source priority, and the meaning of the field. Duplicate rows with conflicting quantities should be flagged rather than averaged; quantities are not survey opinions.
Treat zero and missing differently. Zero can mean an observed absence of stock. Missing means the record does not tell you. Turning every blank into zero can incorrectly remove products, while turning blanks into a guessed positive quantity can create orders you cannot fulfill.
Prepare a preview before applying changes
The useful review artifact is a field-level comparison: SKU, field, current value, proposed value, source, and reason. Keep unrelated fields outside the change when the destination supports that safely.

Import semantics vary. Shopifyβs documentation, for example, distinguishes an included blank non-required column, which can overwrite an existing value as blank, from an omitted non-required column, which generally preserves it; dependent fields introduce additional risks. It also warns that a started CSV import cannot be canceled and recommends backing up product data. Shopify: Importing products with a CSV file.
This is why βjust upload the spreadsheetβ is not a complete operating instruction. Use the current destination schema, preserve a recovery record, test an appropriate small subset, and inspect the result. A stored export is useful but is not a guarantee that every downstream dependency can be restored automatically.
For students: run a synthetic store desk
A business, computing, or media class can use the three records to practice product writing and data quality. One student drafts, another checks fields, and another verifies the arithmetic. Rotate roles so everyone learns to challenge polished text.
Keep the products fictional and the listings unpublished unless the assignment separately authorizes a real storefront. Document AI use according to course rules. The learning objective is accurate transformation and review, not simulated sales claims.
Practice: produce three listings and a review table
Draft all three records, holding incomplete offers explicitly. Create a field-level review table and reproduce the contribution calculation with the assumptions shown. Add an imagined newer supplier file containing a duplicate SKU and an older timestamp on one row; explain how your preview process would handle it.
Completion check: Titles, variants, condition, prices, and quantities match their authoritative inputs. Missing information is visible, calculations are reproducible, and proposed changes remain distinguishable from completed updates.
For a stretch exercise, design a preview-only supplier update process that detects duplicates, stale records, variant mismatches, and suspicious quantity changes before a person decides what to apply.
